Position Summary: Strategic Support Associate, are you ready to take your career to the next level? As a Strategic Support Associate, you’ll be at the heart of our company’s strategic operations, working and traveling with our CEO to document meetings and action items, and ensure those actions are carried out by the executive team. As a Strategic Support Associate you will work directly with leadership, gain insight into high-level operations and strategic initiatives. The ideal candidate will possess professional acumen, and thrive in a dynamic, fast-paced, challenging environment where no two days are the same.
Job Duties and Responsibilities:
Meeting Attendance and Note-Taking:
Accompany the CEO to meetings, both internal and external.
Produce clear, comprehensive summaries and reports for internal distribution and foll0w-up.
Action Item Management:
Distribute meeting notes and action items to relevant members of the executive team promptly.
Maintain an organized log of action items, track the progress of action items and ensure they are completed within the agreed timelines.
Follow up with team members to ensure accountability and provide regular status updates to the CEO.
Communication and Liaison:
Serve as a coordinator between the CEO and other executives and external stakeholders.
Facilitate communication and ensure the CEO is informed of critical issues.
Draft reports, presentations, and other documents for the CEO.
Project Management:
Lead and manage special projects as assigned by the CEO.
Ensure projects are completed on time and within scope.
Collaborate with various departments to achieve project objectives.
Confidentiality and Discretion:
Handle highly confidential information with utmost discretion.
Maintain confidentiality of sensitive information, including strategic plans, financial data, and personnel matters.
Ensure information is shared on a need-to-know basis to protect the company’s interests
Perform other duties as assigned and complete required annual training.
Skills and Competencies:
Strong organizational and time-management skills.
Excellent written and verbal communication abilities.
Proficiency in Microsoft Office Suite and other relevant software.
Ability to handle confidential information with discretion.
Strong analytical and problem-solving skills.
Note-Taking: Proficient in taking detailed and accurate notes during meetings.
Action Item Management: Experience in tracking and managing action items to ensure timely completion.
Required Education and Experience:
Education: Bachelor’s degree in business administration, management, or a related field. An MBA or other advanced degree is often preferred.
Travel: The ability to travel 75% of the time or greater, including last minute travel requirements as needed. The ideal candidate will live near a major Metropolitan airport. Residing in the Washington, DC (or DMV) area is preferred.
Experience: 2-5 years of experience in a similar role, preferably in a government, corporate or executive environment that includes:
Supporting executive leadership in a coordination and scheduling capacity.
Producing briefing memos to prepare an executive for meetings, including working with corporate staff to provide history of client contracts, research on meetings attendees, and more.
Preparing executive leadership for meetings, public appearances, and other engagements.
Anticipating and addressing issues before they arise, especially while travelling.
Serving as a liaison between executives and other team members, filtering communications as needed.
Flexibility to take on new travel assignments and meeting coordination with limited notice.
This role ensures the CEO can focus on high-level strategic decisions while maintaining efficient day-to-day operations, with a strong emphasis on meeting documentation and follow-up.
