Position Summary
Tidal Basin, a leading emergency management consulting firm, is seeking a highly organized and detail-oriented Capture Operations & Research Assistant to support our capture and proposal teams. This full-time, entry-level role provides foundational support for capture pursuits and strategic research initiatives, combining fixed weekly operations with flexible project-based work. The successful candidate will demonstrate strong organizational, communication, and research skills, with the ability to manage multiple recurring and episodic tasks in a structured environment.
Job Duties and Responsibilities
This position includes a mix of routine and ad hoc responsibilities.
Scheduled Weekly Tasks
Track external data requests (e.g., FOIA) and load responses into SharePoint or other information portals
Prepare pipeline and go / no-go meeting notes, decisions, and summaries
Draft and distribute go / no-go decision and discussion emails
Assist with background research for capture pursuits
Maintain and update CRM records
Monitor the watchlist inboxes, filter irrelevant emails, and flag relevant opportunities
Project-Based Tasks
Representative project-based tasks might include, for example:
Perform semi-annual updates to procurement website commodity and keyword codes and ensure information is current in relevant portals
Conduct cleanup of procurement modules including removing duplicates and updating login credentials
Conduct periodic cleanup of CRM modules
Additional Responsibilities
Attend regularly schedule capture team meetings
Provide QA/QC checks on CRM data to ensure its integrity, accuracy, completeness, and consistency. Support regular internal audits and cross-checks to prevent errors.
Provide data retrieval and reporting as needed to assist in generating reports based on the entered data for internal stakeholders, clients, and government agencies.
Organize and maintain digital records and files, ensuring compliance with confidentiality and security standards.
Review incoming data for errors and discrepancies and resolve issues by communicating with relevant team members.
Prioritize data entry tasks to meet project deadlines and deliverables.
Perform other duties as assigned.
Complete all required compliance training on an annual basis.
Skills and Competencies
Proficiency in Microsoft Office Suite (Excel, Word, Outlook)
Familiarity with CRM tools such as Zoho (preferred)
Strong organizational skills and attention to detail
Excellent written and verbal communication
Ability to handle recurring tasks with consistency
Capability to work both independently and as part of a team
Strong research, analysis, and evaluation of information
Required Education and Experience
High school diploma or equivalent required.
Associate or bachelor's degree preferred
0 – 2 years of experience in data entry
Work Location: This is a remote position; however, individual must be available to participate in on-camera meetings during core business hours from 8am – 5pm EST; flexibility to attend meetings outside of these hours may be required based upon business needs.
Work Schedule: Full-time, 40 hours per week
Physical Demands/Work Environment:
Prolonged periods of sitting and working at a computer.
Must be able to lift up to 15 pounds at a time.
Must have access to a stable internet connection for remote work.
