This role is responsible for ensuring efficient day-to-day operations through professional coordination, documentation management, scheduling support, and general administrative assistance. The Administrative Assistant will report to the Project Manager.

Position Summary:

This role is responsible for ensuring efficient day-to-day operations through professional coordination, documentation management, scheduling support, and general administrative assistance. The Administrative Assistant will report to the Project Manager.
Job Duties and Responsibilities include:
- Provide onsite administrative support to client representatives and program leadership.
- Maintain a professional presence within the client’s office environment.
- Coordinate meetings, conference calls, and virtual meetings as directed.
- Prepare meeting materials, and follow-up documentation.
- Prepare, format, and proofread correspondence, reports, and presentations.
- Maintain organized electronic and physical filing systems.
- Develop, enter and maintain data in tracking systems or databases.
- Gather and analyze information.
- Assist with time tracking.
- Perform financial audits or reviews, process bills/vouchers, reimbursement requests, and receivables as needed.
- Produce briefing and training materials.
- Monitor and support travel coordination and travel documentation.
- Perform other administrative duties as assigned.
- Complete all required training.
Required Skills and Competencies
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Ability to communicate clearly and appropriately over the phone and in writing.
- Must have exceptional organizational and time management skills.
- Ability to learn new computer applications including video conferencing on various platforms
Required Education and Experience:
- Must have a high school diploma or equivalent; Associate degree preferred.
- Minimum of one (1) year of administrative experience.
- Experience supporting government, disaster recovery, or grant-funded program setting is preferred.
