Position Summary:   
Tidal Basin is seeking an Invoice Specialist in the Guaynabo, Puerto Rico office for an upcoming large-scale, federally funded grants program.  ensuring it runs efficiently. This position will be responsible for a wide range of data management activities and requires exceptional Microsoft Excel skills. 

Job Duties and Responsibilities: 
  • Coordinate project tracking and data management for the program contracts and program staff billable hours with established systems.         
  •  Prepare billing for program income budget, maintain relevant subcontractors’ payment ledgers, and provide receivable financial reports.
  • Develop Reconciliation Reports and Payment Recommendations for the client regarding subcontractor invoices. 
  • Manage purchase or task order trackers in SharePoint or accounting systems adding required information
  • Establish system for collection, review, organization, and storage of project documents.   
  • Export data and create required reports for the client and the managerial team, if required. 
  • Reconcile data with subcontractor invoices. 
  • Produce financial status reports using designated billing or CRM systems.
  • Post total amounts and account numbers on forms process in billing systems.
  • Complete QA/QC of billing hours with program management to validate billing reports to the client area accurately.
  • Answer phone calls from management, employees and the client with questions about invoicing.
  • Compile and submit documents to the client at the close of the project. 
  • Maintain all company project documents and provide for storage of project documents.  
  • Ensure accounting procedures comply with relevant tax legislation, GAAP compliance, both external and internal controls.

  • Must possess exceptional Microsoft Excel skills including the ability to create pivot tables, charts, and graphs, analyze data, and understand how to interpret complicated functions.

  • Ability to communicate verbally in Spanish and English. 

 Required Education and Experience:
  • Associated Degree in Accounting or;
  • High School Diploma or GED with two years of prior experience.
